Overview

The Role

 

As a front of house Administration Assistant reporting to the Operations Director, you will provide an exceptional, on brand experience to all visitors and external callers, whilst providing administration support to the Operations team. Your working hours are; Monday – Thursday 08:00am – 16:30pm and Friday 08:00am – 15:30pm.

 

Key Responsibilities will include;

  • Answering and connecting direct and diverted calls, for various Head Office functions and the Retail Stores.
  • Managing the reception area, ensuring it is clean and tidy and in line with the company’s brand image as well as meeting and greeting visitors including; external providers, contractors, partners and candidates.
  • Formally inducting contractors into the Mamas & Papas health and safety guidelines, including the completion of permits to work and liaising with other departments to ensure the correct standards and guidelines are followed.
  • Acting as a fire warden and working with HR to liaise with departmental fire wardens to maintain the fire evacuation lists across the entire business encompassing new starters, maternity and leavers.
  • Supporting the Health & Safety Manager by collating and formatting the Health & Safety KPI dashboard.
  • Working with the Retail Stores, Retail Store Support and the Operations Secretary to confirm retail store maintenance visits and collating a retail stores maintenance job sheet including feedback for the maintenance engineers.

 

The Person

 

You will be an established Administrator with strong word, powerpoint and excel skills. You will be a confident individual with good interpersonal skills and the ability to build strong, collaborative working relationships. You will have excellent verbal and written communication skills and be highly organised and proactive, with strong time management skills and the ability to multi task. You must be professional in your approach, maintaining confidentiality at all times and have a can do attitude with a positive approach and approachable nature.
